GroupID 9 & 10 - Self-Service

Business Scenario:

El is a Finance manager at Tyrell Corporation and would like his direct report, Jay, to join a communication group named Fintech, so that he can remain updated about an upcoming project. The Fintech group, however, is managed by a different team/owner. Jay can request to join the group on his own but it would be much easier if El could just place a join request on behalf of his subordinates. The idea of responsibly introducing a subordinate to a new working group by placing a join request on his or her behalf would also make the approval decision easy for the Fintech group owner.

Explanation:

GroupID Self-Service introduced the group types feature, where users can request to join or leave a semi-private group.

Then GroupID 9 Self-Service introduced a feature where managers and peers can generate a request on behalf of other users. With GroupID 10 SR1, any user can place a request to join or leave a group on behalf of any user.

But before we move towards the actual steps for placing a request, here is a summary table for what we are about to do.

Join/Leave on Behalf of Peers

Users can place a request to join or leave a group on behalf of their peers. (Users who report to the same manager are peers to each other.)

Join/Leave on Behalf of Peer permission should be set to Allow for the security role the requesting user belongs to.

Join/Leave on Behalf of Any User Any user can place a request to join or leave a group on 
behalf of any other user.
Join/Leave on Behalf of Any User permission should be set to Allow for the security role the requesting user belongs to.

Manager to Request on Behalf of Direct Reports:

Required Permission:

  1. In GroupID Management Console, click the Identity Stores node and double-click an identity store to open its properties.
  2. On the Security Roles tab, select the security role El falls in and click Edit.
  3. On the Permissions tab, set the Manage My Direct Reports permission to Allow.

Steps to Request on Behalf of Direct Reports:

  1. In the Self-Service portal, search the Fintech group and open its properties.
  2. Click Join; a box is displayed.
  3. Since El wants to place this request on behalf of a direct report, click Other.
  4. Search and select the desired direct report and click Join.
  5. An email notification will be sent to both the group owner as well as to Jay. Once the request is approved, all the parties will be notified of the decision.

Request on Behalf of Peers:

Required Permission:

  1. In GroupID 9 Management Console, click the Identity Stores node and double-click an identity store to open its properties.
  2. On the Security Roles tab, select the security role Jay falls in and click Edit.
  3. On the Permissions tab, set the Join/Leave on behalf of Peer permission to Allow.

Steps to Request on Behalf of Peers:

  3. Since Jay wants to place this request on behalf of a peer, click Other.
  4. Search and select the desired peer and click Join.
  5. An email notification will be sent to both the group owner as well as to the peer. Once the request is approved, all the parties will be notified of the decision.

Request on Behalf of Any User ( For GroupID 10 SR1):

Required Permission:

  1. In GroupID 10 Management Console, click the Identity Stores node and double-click an identity store to open its properties.
  2. On the Security Roles tab, select the security role Jay falls in and click Edit.
  3. On the Permissions tab, set the Join/Leave on behalf of Any User permission to Allow.

Steps to Request on Behalf of Any User:

  1. In the Self-Service portal, search the Fintech group and open its properties.
  2. Click Join; a box is displayed.
  3. Since Jay wants to place this request on behalf of any user, click Other.
  4. Search and select the desired user and click Join.
  5. An email notification will be sent to both the group owner as well as to the user. Once the request is approved, all the parties will be notified of the decision.
